Title:                     Administrative Coordinator

Supervisor:           Director of Administration

Status:                   Full-time, Non-Exempt

Job Summary: The Administrative Coordinator provides administrative support to the CEO, Board of Directors, Leadership Team, and the chapter.

Essential Job Functions:

  • For the CEO:
    • Calendar management
    • Proactively schedule meetings, reserve space, and coordinate food arrangements
    • Donor portfolio management including donor research, meeting preparation, and donor profiles
    • Correspond with board members and top-tier donors
    • Responsible for planning travel and arrangements while on chapter business
  • For the Board of Directors:
    • Serve as a key resource to board members and board liaisons
    • Responsible for board records, in compliance with chapter & state policies
    • Take full board and committee meeting minutes
    • Create, update, and distribute meeting materials
    • Responsible for planning travel and arrangements while on chapter business
  • For the Leadership Team:
    • Coordinate team meeting agendas
    • Update monthly tracking reports
    • Perform administrative duties as required; includes copying, faxing, mailing, invoicing, and filing
  • For the chapter:
    • Greet and direct guests
    • Answer and respond to general phone inquiries
    • Input donor and client information into appropriate database or platform
    • Process incoming donations

Preferred Skills & Abilities:

  • Excellent written and verbal communication skills (writing sample required)
  • Ability to work independently and without supervision
  • Demonstrate discretion and independent judgement
  • Strong attention to detail
  • Ability to manage multiple tasks and projects simultaneously
  • Excellent organization and time-management skills
  • Proficient with computer applications – emphasis on Microsoft Word, Excel, and PowerPoint
  • Ability to learn and master additional computer software
  • Working knowledge of Blackbaud/Raiser’s Edge a plus

Preferred Education & Experience:

  • Associate degree required; Bachelor’s degree preferred
  • Minimum 3 – 5 years administrative experience required
